ITI is looking for an Executive Assistant to join our head office located in the Lebourgneuf district, in Quebec. As the right hand of the president, you will be at the heart of the action, playing a key role in coordinating administrative activities, managing corporate projects, including organizing events, and handling executive communications. The position is available immediately, as our current assistant has been promoted to new functions! Working at ITI also offers the opportunity to grow within the organization.

Your role at ITI

You will be responsible for:   

  • Managing the daily agenda, business trips, and expense accounts of the president and the executive committee; 
  • Preparing the agenda, presentations, minutes, and reports for committee meetings, board meetings, and other meetings, as well as making the necessary arrangements for holding and following up on these meetings; 
  • Supporting the president and, occasionally, the vice presidents in coordinating certain projects and tracking deadlines; 
  • Ensuring the coordination, validation, and follow-up of files, and participating in various working committees; 
  • Producing documents and communications; 
  • Coordinating the logistics of meetings; 
  • Being present at our Quebec office three days a week to ensure adequate supply of materials and oversee the smooth operation of all activities; 
  • Welcoming executive committee guests during in-person meetings; 
  • Performing all related tasks.

  • You quickly grasp the context and relational dynamics to make informed judgments, demonstrate emotional intelligence and work autonomously; 
  • You love synthesizing and summarizing meetings into impactful communications; 
  • You are passionate about project coordination and attentive to details;  
  • You have an interest in methodical and meticulous organization of everything around you: trips, meetings, emails, files, and PowerPoint presentations;

What we’re looking for

Profile

  • A minimum of 5 years experience in a similar role;  
  • Hold a degree in administration or an equivalent combination of education and experience; 
  • Possess in-depth knowledge of computer tools such as the Office suite (Outlook, Word, Excel, Teams, PowerPoint). 
  • Be proficient in both English and French, written and spoken. The ability to communicate in English is essential for collaborating with executive committee members as well as with English-speaking employees and stakeholders based outside of Quebec.
